# Nonprofit Software Development

Donor CRM, recurring giving and grant reporting software built for a team that has to do more with a smaller budget than a for-profit peer.

[How we work](https://cyanorbit.com/process)

Nonprofits usually run donor relationships across a patchwork of an email inbox, a spreadsheet and a payment processor's dashboard, none of which talk to each other, which makes it hard to answer a simple question like which recurring donors just had a card decline. Off-the-shelf nonprofit CRMs cover the basics but rarely bend to how a specific organization actually tracks relationships, campaigns and grant deliverables.

We build donor CRMs, recurring donation processing with automatic card-failure recovery, and grant management tools that generate the reporting format each funder actually requires instead of a generic export. Volunteer coordination and impact reporting dashboards connect to the same underlying donor and program data, so a program director is not reconciling numbers between three separate tools before a board meeting.

The problem

## Where nonprofit software gets hard

- ### Donor data is scattered across disconnected tools
Email, spreadsheets and a payment processor's dashboard each hold part of the donor relationship, which makes a complete giving history hard to assemble without manual cross-referencing.
- ### Recurring donations fail quietly without a recovery process
A declined card on a recurring gift often just stops the donation with no follow-up, silently losing a donor who would likely have updated their payment method if asked.
- ### Grant reporting requirements differ by funder
Each funder wants its own reporting format and cadence, and assembling that by hand from program data every quarter consumes staff time that could go toward the mission itself.
- ### Volunteer coordination gets harder to manage by spreadsheet past a certain scale
Matching volunteer availability and skills to shifts or projects becomes a real scheduling problem once an organization passes a few dozen active volunteers.

What we build

## Nonprofit systems we build

- ### Donor CRM and relationship management
One system tracking donor history, communication and giving patterns, replacing the spreadsheet-and-inbox approach most small development teams start with.
- ### Recurring donation processing
Automated retry and card-update requests for failed recurring payments, recovering donations that would otherwise silently lapse.
- ### Grant management and reporting
Reporting tools that generate each funder's required format from one underlying program data set, instead of rebuilding a report by hand per grant.
- ### Volunteer management and scheduling
Shift and project scheduling that matches volunteer availability and skills, reducing the manual coordination a small staff otherwise absorbs.
- ### Impact reporting dashboards
Program outcome dashboards built from the same data driving grant reports, so board and funder reporting stay consistent with each other.

## Regulations and standards we design for

- PCI DSS requirements for donation payment processing.
- IRS Form 990 public disclosure requirements for tax-exempt organizations.
- State charitable solicitation registration requirements for organizations fundraising across state lines.

## Platforms we integrate with

- Stripe and PayPal for donation processing
- Salesforce Nonprofit Cloud
- Classy for fundraising campaigns
- Mailchimp for donor communications
- QuickBooks for nonprofit accounting

## Recurring donation processing that recovers failed payments

We build recurring giving to retry a declined card automatically over a short window and prompt the donor to update payment details before treating the gift as lapsed, rather than silently dropping it. This alone recovers a meaningful share of recurring revenue that a default Stripe or PayPal subscription setup would otherwise lose without anyone noticing until a monthly report shows the drop.

## Grant reporting built from one data source

Instead of a spreadsheet rebuilt from scratch for each funder, we build program and outcome data into one structure that reporting templates can pull from, so a new funder's specific format is a template change, not a new data collection process. This keeps quarterly reporting from becoming a recurring emergency for a small development team.

FAQ

## Nonprofit software FAQs

Can recurring donation software automatically recover a failed card payment?

Yes. We build automatic retry logic over a short window along with an email or SMS prompt asking the donor to update their card, which recovers a meaningful share of gifts that would otherwise lapse silently.

How do you handle different grant reporting formats for different funders?

We store program and outcome data in one underlying structure and build reporting templates per funder that pull from it, so a new funder's format is a template addition rather than a new data collection process.

Can a donor CRM integrate with our existing Stripe donation processing?

Yes. We build the CRM to read directly from your Stripe account for payment and subscription status, so donor records reflect actual payment history instead of a manually updated giving total.

How long does it take to build a volunteer scheduling tool?

A scheduling tool matching volunteer availability and skills to shifts typically takes six to eight weeks, depending on how many programs and eligibility rules need to be modeled.

Do nonprofit software projects need to be PCI DSS compliant?

Any part of the system that handles donation card payments does, though routing card capture through a processor's hosted payment fields, as we build by default, keeps most of the application out of PCI DSS scope entirely.
