[How we work](https://cyanorbit.com/process)

Brokerages, PropTech startups and property management companies each run into the same integration problem before they hit any product decision: listing data lives in an MLS behind licensing rules that vary by region, tenant and buyer data lives in a CRM that agents half-use, and transaction deadlines live in someone's calendar reminders instead of the system of record.

We build listing search and property sites on RESO Web API feeds instead of scraped or stale IDX exports, real estate CRMs that route leads the way your brokerage actually works, and transaction management tools that track financing and disclosure deadlines automatically rather than relying on an agent to remember them. Property management portals handle maintenance requests, rent collection and vendor coordination on the same data layer tenants and owners both see.

Fair housing rules shape the search and advertising layer specifically, and we build filtering and ad targeting to stay inside those rules without stripping out the filters buyers actually rely on to find a home.

The problem

## Where real estate software gets hard

- ### MLS and IDX licensing varies by region
Each MLS sets its own data licensing terms and update frequency, and even with RESO Web API as the emerging standard, field coverage and refresh timing still differ enough between regional MLSs to break a naive integration.
- ### Fair Housing compliance constrains search and ads
The Fair Housing Act and state equivalents restrict how listing search, filtering and ad targeting can use anything correlated with a protected class, which limits how aggressively a search UI can personalize results.
- ### Lead routing breaks down across brokerages and teams
A lead that comes in through a listing site, a portal and a referral often lands in three different places, and by the time an agent responds, a faster competitor has already called.
- ### Transaction deadlines get missed without automated tracking
Financing contingencies, disclosure periods and inspection windows each run on their own clock, and a missed one can unwind a deal or expose a brokerage to liability.
- ### Property management scales past what spreadsheets can hold
Maintenance requests, vendor scheduling and rent collection across more than a handful of units turn into a coordination problem that email and spreadsheets cannot keep up with.

What we build

## Real Estate systems we build

- ### IDX and MLS-powered listing search
Property search and listing sites built on RESO Web API or MLS Grid feeds, kept current against your MLS's actual refresh schedule rather than a fixed daily sync.
- ### Real estate CRM and lead routing
Lead capture from listing sites, portals and referrals routed to the right agent or team by rules you define, with response-time tracking so a stalled lead surfaces before it goes cold.
- ### Transaction management workflows
Deadline tracking for financing, disclosure and inspection contingencies, with e-signature built in so a missed date is a system alert, not a discovery three weeks later.
- ### Tenant and property management portals
Maintenance request intake, vendor assignment and rent payment in one portal, connected to your property management system instead of running alongside it as a separate tool.
- ### Rental application and screening workflows
Application intake, document collection and tenant screening integration built to Fair Credit Reporting Act requirements for adverse action notices.
- ### Virtual tour and listing media integration
3D walkthrough and virtual tour embeds tied to the listing record, so media stays attached to a property through syndication to Zillow, Realtor.com and your own site.

## Regulations and standards we design for

- Fair Housing Act and state fair housing laws governing listing display, search filtering and advertising targeting.
- RESPA and TRID disclosure timing requirements for mortgage-related transaction communications.
- State real estate licensing and broker disclosure requirements, which vary in what a listing site or portal must display.
- Fair Credit Reporting Act requirements for tenant screening and adverse action notices.
- CCPA/CPRA for platforms handling California residents' personal information.
- GDPR and UK GDPR for platforms marketing property to buyers based in the EU or UK.

## Platforms we integrate with

- RESO Web API and MLS Grid for IDX listing data
- Zillow and Realtor.com listing syndication
- DocuSign for transaction and lease e-signature
- Yardi and AppFolio for property management
- Stripe for rent and application fee payment
- Twilio for lead notification and tenant messaging
- Salesforce for brokerage-level CRM

## MLS and IDX integration across regional feeds

RESO Web API is becoming the standard, but coverage and refresh timing still differ between regional MLSs, and some smaller MLSs have not fully migrated off older RETS feeds. We build the integration layer to handle both, with a mapping table per MLS so an inconsistent field name or missing photo does not silently break a listing card.

Syndication out to Zillow, Realtor.com and other portals runs from the same normalized listing record, so a price change or status update propagates from one source instead of needing separate updates per channel.

## Fair Housing compliant search without disabling useful filters

We build search and filtering around property attributes (bedrooms, square footage, price, school district boundaries drawn from public data) rather than anything that functions as a proxy for a protected class, and we review ad targeting rules the same way. The goal is a search experience that still narrows results usefully without creating the kind of steering the Fair Housing Act and HUD's advertising guidance prohibit.

## Transaction management that tracks deadlines automatically

Every contingency date (financing, inspection, disclosure) gets entered once at contract signing and tracked against the actual calendar, with alerts to the agent and transaction coordinator ahead of each deadline rather than on the day it lapses. E-signature status feeds back into the same record, so a stalled document is visible before it becomes a missed date.

FAQ

## Real Estate software FAQs

Can you integrate our listing site with our local MLS feed?

Yes, through RESO Web API where your MLS supports it, or through RETS for MLSs that have not migrated yet. We map fields specific to your MLS's implementation, since photo counts, status codes and refresh timing vary enough between regions to break a generic integration.

How do you keep search filters Fair Housing compliant?

We build filters around objective property attributes like price, size and public school district boundaries rather than anything that could function as a proxy for a protected class, and we review ad targeting rules against HUD's advertising guidance before launch.

Can a tenant portal handle maintenance requests and rent payment together?

Yes. We build maintenance request intake, vendor assignment and rent collection through Stripe into one portal connected to your property management system, so a tenant is not using three separate logins for one unit.

How long does a transaction management tool with e-signature take to build?

A working version covering contract upload, deadline tracking and DocuSign-based e-signature typically takes eight to twelve weeks. Adding financing and title company integrations extends that depending on how many external parties need access.

Do you build tenant screening into rental application workflows?

Yes, integrated with a screening provider for credit and background checks, with adverse action notice generation built to Fair Credit Reporting Act requirements so a denial is documented correctly rather than handled ad hoc by email.
