[How we work](https://cyanorbit.com/process)

An insurance carrier's core systems have to reconcile two things that move at different speeds: rate filings that change whenever a state regulator approves an update, and the day-to-day reality of policies being endorsed, canceled, and reinstated in the middle of a term. A rating engine hardcoded around today's rate tables becomes wrong the moment a filing updates, and a policy administration system that can't handle a mid-term endorsement cleanly creates the kind of audit trail gap a regulatory exam will flag.

We build policy administration systems that handle new business, endorsements, cancellations, and reinstatements without breaking that audit trail, rating engines that encode state-filed rate tables as configurable data rather than logic baked into code, and claims workflows that carry a file from first notice of loss through reserve setting to settlement. ACORD forms arrive from agents as XML from one system and PDF from another, and the ingestion layer has to parse both without forcing anyone to re-key the same data by hand.

For carriers ceding risk, reinsurance treaty tracking, quota share and excess of loss alike, ties policy and claim-level data to what's actually been ceded, replacing a spreadsheet that drifts from reality the moment a treaty renews with new terms.

The problem

## What makes insurance projects different

- ### Rating engines go stale the moment a rate filing updates
State-approved rate filings change on a regulator's schedule, not the carrier's release schedule, and a rating engine that encodes today's rates as hardcoded logic instead of configurable data becomes wrong the day a new filing takes effect.
- ### Mid-term policy changes can't break the audit trail
Endorsements, cancellations, and reinstatements happen constantly during a policy's term, and a system that handles them as ad hoc edits rather than tracked, versioned changes creates exactly the audit trail gap a regulatory exam will flag.
- ### ACORD forms arrive in inconsistent formats from different agency systems
One agency management system sends ACORD data as XML, another exports a PDF, and a policy administration system meant to ingest submissions from many agents needs to parse both without requiring manual re-keying for whichever format doesn't fit cleanly.
- ### Claims data needs change at every stage from FNOL to settlement
A claim's reserve estimate needs to update as new information, an inspection report, a medical bill, arrives, and a workflow built only around the open and close events misses the reserve adjustments that matter most for accurate financial reporting.
- ### Reinsurance cessions drift from reality in a spreadsheet
Quota share and excess of loss treaties require accurate policy-level and claim-level cession tracking, and a manual spreadsheet approach falls out of sync the moment treaty terms change at renewal or a large claim triggers an excess layer.

Scope

## Features we commonly build

- ### Policy administration
New business, endorsements, cancellations, and reinstatements handled as tracked, versioned changes that preserve a complete audit trail.
- ### Configurable rating engine
State-filed rate tables and multi-variable pricing factors stored as configurable data, so a rate filing update doesn't require a code change.
- ### ACORD form ingestion and generation
Parsing for both XML and PDF ACORD submissions from agency systems, reducing manual re-keying of agent-submitted data.
- ### Claims workflow from FNOL to settlement
A claim record that carries reserve estimates and supporting documentation through every stage, updating as new information arrives.
- ### Reinsurance treaty tracking
Cession tracking at the policy and claim level for quota share and excess of loss treaties, reconciled against actual treaty terms.
- ### Commission calculation and agent statements
Commission calculated per policy and reconciled into agent statements, reducing manual commission reconciliation work.
- ### Policy document generation
Declarations pages and endorsement documents generated directly from policy data, keeping issued documents consistent with the system of record.
- ### Rate and form filing tracking by state
A record of which rate and form versions are approved and in effect per state, reducing the risk of issuing a policy against an outdated filing.

Approach

## How we run these projects

We start by mapping the carrier's actual rate filings, ACORD data sources, and policy lifecycle events, since the rating engine's data model and the policy administration system's audit trail both depend on getting that structure right before any screen gets designed. Configurable rate tables get validated against real, approved filings for at least one line and state before the rating engine is trusted for production quoting.

Claims workflow and reinsurance cession logic get built and tested against real historical policy and claim data, comparing the system's output to what the carrier's actual records show, before cutover. Code and infrastructure stay in your environment from the first commit, and we sign an NDA before discovery begins.

FAQ

## Frequently asked questions

How does a custom rating engine handle state-specific rate filings?

Rate tables and pricing factors are stored as configurable data rather than hardcoded logic, so a new state-approved filing gets loaded as a data update instead of requiring a code change and a full release cycle.

Can the system ingest ACORD forms in both XML and PDF format?

Yes, the ingestion layer parses both formats, since different agency management systems export ACORD data differently, and normalizes the result into the same policy submission structure regardless of which format an agent's system sent.

How does policy administration handle mid-term endorsements without breaking the audit trail?

Endorsements, cancellations, and reinstatements are tracked as versioned changes to the policy record rather than direct edits, preserving a complete history that a regulatory exam or an internal audit can reconstruct at any point in the policy's term.

How long does it take to build a custom policy administration system?

A focused system covering policy administration and a rating engine for one or two lines of business typically takes several months, with ACORD integration, claims workflow, and reinsurance tracking adding time depending on how many agency and treaty sources are involved.

Does the system track reinsurance cessions for quota share treaties?

Yes, we build cession tracking at the policy and claim level reconciled against the actual terms of a quota share or excess of loss treaty, rather than relying on a spreadsheet that falls out of sync at renewal.

Can this replace or integrate with Guidewire or Duck Creek?

It depends on the carrier's goals. Some carriers use custom development to extend or bridge data from an existing Guidewire or Duck Creek installation, while others build a focused replacement for a specific line of business; we scope this during discovery based on what the existing system already does well.
