How we work

Email marketing here covers the full lifecycle: automated flows for welcome, onboarding, abandoned cart, renewal and win-back, the segmentation logic that decides who receives which flow, and the deliverability engineering, SPF, DKIM and DMARC configuration, sender reputation monitoring, list hygiene, that determines whether any of it reaches an inbox at all.

Deliverability is the part most email vendors treat as someone else's problem, usually the platform's, right up until a domain's sender reputation degrades and open rates quietly collapse across every campaign. We configure and monitor the authentication records directly: SPF to authorize sending servers, DKIM to sign messages cryptographically, DMARC to tell receiving servers what to do with mail that fails either check. Getting this wrong is a common, avoidable cause of email landing in spam regardless of how good the copy is.

Segmentation is the other half: a single welcome sequence sent to every new signup regardless of how they arrived or what they are interested in wastes the platform's targeting capability. We build segmentation around actual behavior and lifecycle stage, so a flow speaks to where a subscriber actually is rather than a generic middle-of-the-funnel message sent to everyone.

What we deliver

Email Marketing services

  • Lifecycle flow design

Welcome, onboarding, abandoned cart, renewal and win-back sequences built around your actual customer journey rather than a generic template.

  • Segmentation strategy

Behavioral and lifecycle-based segments that determine which flow a subscriber enters, so messaging matches where they actually are rather than treating every contact the same.

  • Deliverability engineering

SPF, DKIM and DMARC configuration and ongoing monitoring, plus sender reputation tracking and list hygiene to keep bounce and complaint rates low.

  • Email template design and coding

Responsive HTML email templates built to render correctly across major email clients, coded rather than assembled from a fragile drag-and-drop editor alone.

  • Platform migration

Migrating email platforms or CRM integrations without breaking existing automations, list segmentation or sender authentication in the process.

  • Campaign strategy and copywriting

One-off campaign emails, product announcements or promotions, planned around the same segmentation logic rather than sent to the full list by default.

How we work

Our email marketing process

  1. Deliverability and list audit

A review of current sender authentication, domain reputation and list hygiene, since flows built on a damaged sender reputation will underperform regardless of content quality.

  2. Segmentation design

Defining the behavioral and lifecycle segments that will drive which flow a subscriber receives, based on actual customer data rather than assumed personas.

  3. Flow and template build

Building the automated sequences and the responsive templates they send, tested across major email clients before launch.

  4. Deliverability configuration

Implementing or correcting SPF, DKIM and DMARC records, and setting up ongoing monitoring for bounce, complaint and reputation metrics.

  5. Launch and monitoring

Flows go live with close monitoring in the first sending cycles, since deliverability issues often surface only once real volume starts flowing.

  6. Optimization

Ongoing testing of subject lines, send timing and flow structure against open, click and conversion data specific to each segment.

Deliverability as engineering, not a settings checkbox

SPF, DKIM and DMARC are DNS records, and getting them wrong, an SPF record that does not include every sending source, a DKIM key that was never actually enabled by the sending platform, a DMARC policy set to reject before authentication is fully verified, causes real mail to bounce or land in spam, often silently.

We read the actual DNS records and authentication headers on outgoing mail rather than trusting a platform's dashboard status indicator, since a dashboard showing green does not always match what a receiving mail server actually sees. This is the same header and DNS-level troubleshooting our engineering teams do for any other domain issue, applied specifically to mail delivery.

Segmentation that reflects lifecycle stage, not just a list import

A subscriber three days into a trial and a subscriber who has been a paying customer for two years should never receive the same weekly newsletter with no distinction between them, yet that is the default behavior of an unsegmented list.

We build segments around actual behavior, signup source, product usage, purchase recency, so a flow can speak to a subscriber's real situation. This also protects deliverability indirectly: relevant email gets opened and clicked, and low engagement across a broad, unsegmented send is one of the signals that damages sender reputation over time.

Technology

Technologies we use

Budget

What drives cost and timeline

  • Number of flows in scope

A welcome sequence alone is a narrower build than a full set covering onboarding, abandonment, renewal and win-back together.

  • Segmentation complexity

A simple new-versus-existing-customer split is faster to design than a model with multiple behavioral triggers and lifecycle stages.

  • Deliverability starting point

A domain with existing reputation damage or an unconfigured DMARC record needs remediation work before flow optimization can show its full effect.

  • Platform and integration needs

Integration with a CRM or ecommerce platform for real-time behavioral triggers adds setup complexity beyond a standalone email platform.

Compliance

Standards we design and build to

None of these is a certification or attestation held by this agency. They are the standards we design and build client systems to, so your own audit or assessment starts from a sound base.

  • GDPR / UK GDPR

Personal data handled on a lawful basis, with data minimisation and a documented retention policy.

  • HIPAA safeguards

Administrative, physical and technical safeguards applied where a system touches protected health information.

  • PCI DSS scope reduction

Card payment flows tokenised through a certified processor so cardholder data never touches your systems.

  • SOC 2 readiness

Access control, change management and audit logging built in from day one, ready for a client's own SOC 2 audit.

  • WCAG 2.2 AA

Keyboard navigation, colour contrast and screen-reader labelling checked against the AA success criteria.

  • OWASP ASVS

Authentication, session handling and input validation reviewed against the Application Security Verification Standard.

We list certifications only when they are real and current. See our security practices →

FAQ

Email Marketing FAQs

Why did our email open rates suddenly drop?

The most common causes are a deliverability issue, a damaged sender reputation, a broken authentication record, or a change in a major inbox provider's filtering behavior, rather than a content problem. We start by auditing SPF, DKIM and DMARC configuration and recent bounce and complaint data before touching subject lines or copy.

What are SPF, DKIM and DMARC and why do they matter?

SPF authorizes which servers can send mail on your domain's behalf, DKIM cryptographically signs messages so receivers can verify they were not altered in transit, and DMARC tells receiving servers what to do with mail that fails either check. Misconfigured or missing records are a common, avoidable cause of mail landing in spam.

Can you migrate our email platform without losing our sender reputation?

Yes, with a staged approach: authentication records get updated and verified on the new platform before volume ramps up, and sending typically increases gradually rather than switching the full list over on day one, since a sudden volume change from a new sending source can itself trigger spam filtering.

How many segments do we actually need?

It depends on how differentiated your customer lifecycle actually is. A simple business might need three or four segments; a subscription business with distinct trial, active and churned states typically needs more. We design the model around behavior that is genuinely different, not segmentation for its own sake.

Do you write the copy for our email flows?

Yes, in coordination with your content marketing work where that service is also in scope, or independently if not. Flow copy is written to match the segment and lifecycle stage each message targets rather than reusing generic template language across every automation.

Can email marketing work integrate with our existing CRM or e-commerce platform?

Yes. We connect email platforms to CRM systems like HubSpot or Salesforce, or e-commerce platforms like Shopify, so behavioral triggers, a cart abandonment, a subscription renewal, fire automatically rather than relying on a manual list export process.
